Part–Time School Secretary

​

The Board of Management of Kilgarriffe National School is seeking a Part-Time Secretary to work two hours a week in the school office. There is a possibility of increased hours in the future, subject to Department of Education approval. 

​

The position will be subject to the terms of Circular 36/2022 Revision of Salaries and Annual Leave Arrangements for School Secretaries and Circular 46/2023 Revision of Salaries for School Secretaries Previously Funded Under Ancillary Grant Funding. The entry level for this role is on the first point of the scale unless the candidate has previous work experience as a School Secretary.

The position is subject to a 6 month probationary period and satisfactory Garda Vetting. The successful candidate will be required to undertake Medmark clearance and TUSLA Child Protection Training.

 

The School Secretary will be an integral part of the school community, working alongside the Principal to ensure the smooth running of the school.

​

Responsibilities may include but are not limited to:

  • General secretarial duties consistent with the role of the School Secretary, carrying out administrative duties assigned by the School Principal

  • Liaising with parents, staff, pupils and visitors in person, by phone and by email in a courteous and professional manner

  • Maintaining and updating school databases and filing systems such as Aladdin, Online Claims System (OLCS), Pupil Online Database (POD)

  • Assisting with the typing, editing and publishing of school documents e.g. newsletters, policies

  • Assisting the Treasurer in maintaining financial records and managing online payments

  • Managing school correspondence with professionalism and confidentiality

  • Maintenance and procurement of school and office supplies and operating office machines (photocopier, laminator etc)

  • Assisting with the organisation of school events and making necessary arrangements for school trips

  • Coordination of internal communication (post, telephone messages, email etc.)

  • To be aware of and comply with school policies and procedure, particularly in relation to Child Safeguarding, Health and Safety, GDPR/Data Protection and report any concerns to the appropriate person

Skills & Experience Required

  • Excellent organisational, interpersonal, oral and written communication skills

  • Reliability, trustworthiness and strict adherence to confidentiality

  • Administrative skills and general office experience including day to day accounts

  • Excellent typing skills and proficiency in ICT including word processing, spreadsheets and email

  • Familiarity with school systems (e.g. POD, OLCS and Aladdin) is desirable

  • Flexible and adaptable to the needs of the school and willingness to upskill where necessary

  • Ability to use own initiative to work independently and as part of a team

  • Positive outlook and willingness to contribute to the overall school development
